Editing citations

Editing citations and your reference list

Word generates code that is hidden in your Word document to enable it to communicate with EndNote. When you click on an in-text citation or on your bibliography, the background will go grey indicating that code is present.

Warning! Do not type over any part of your document which is greyed as this disrupts the coding in Word.


Editing citations

  • In Word, click once on the in-text citation. The text will have a grey backfill.
  • Click on the EndNote tab.
  • In the toolbar, click on Edit & Manage Citation(s).

Now you can:

  • Remove a citation.
  • Change the order of inserted citations where multiple citations are inserted at the same point.
  • Exclude the author name or the year from the citation.
  • Add a prefix, suffix or page numbers to a citation. Please note, page numbers will only appear if the reference style includes them. Otherwise you can add a page number as a suffix to a citation, taking care to include appropriate punctuation and spacing.


Editing references in your reference list

If you wish to edit a reference that you have inserted into a Word document, make the changes to the reference in your EndNote Library.

Then, return to Word and click on Update Citations and Bibliography in the EndNote toolbar. The reference will be updated in Word.

If the reference formatting is not displaying as you need it to, you may need to edit the referencing style.


Tip: automatic group creation for references in a Word document

As you begin to insert citations, EndNote Desktop automatically creates a new group containing those references. This group has the same name as your Word document. This is a useful way to see which of the references in your Library you have used in your work. When you close Word or EndNote and re-open them, the group is not automatically displayed in EndNote. Open your Word document and from the EndNote toolbar select Update Citations and Bibliography to see the group re-appear in EndNote
